Understanding how user authorization affects update synchronization

Why do updates appear from a different user?

When you see a notice that an update was posted using another user's credentials, it means that the original user who made the change has not authorized the MultiBoard Items app yet.

How user authorization works

MultiBoard Items needs authorization from each user to perform actions on their behalf. When a user authorizes the app, we receive an access token that allows us to:

  • Post updates as that specific user
  • Sync comments and changes using their identity
  • Maintain proper attribution across shared items

What happens when a user isn't authorized?

If a user makes an update but hasn't authorized the app, we still sync the update to maintain data consistency across your boards. However, we must use another authorized user's token to post the update. When this happens, we add a notice indicating the update was synced using different credentials.

How to authorize the app

To ensure updates appear under the correct user name, each team member should:

  1. Open the MultiBoard Items app on any item
  2. Look for the authorization prompt and click to authorize
  3. Complete the authorization process

Checking authorized users

You can view which users have authorized the app by clicking on the "Access Keys" section within the MultiBoard Items app. This shows you a list of all users who have completed the authorization process.

Note: All updates and data will sync correctly regardless of authorization status. User authorization only affects who is shown as the author of the synced updates.
